What a proper 365 deployment involves

Microsoft 365 is often adopted one piece at a time — mail first, then file storage, then Teams because everyone started using it anyway. The result works, but it accumulates: permissions nobody can explain, files in three places, and an admin account shared between two people.

A structured deployment fixes the foundation. Identity is defined first, then access policy, then where each type of content belongs, then how it is protected. Everything after that becomes simpler, including support.

Independent backup of the tenant, plus documented recovery procedures for mail, files and Teams content.

Migration without the horror stories

Mail is the least forgiving system to move badly.

People notice a missing calendar invitation immediately. They notice a lost shared mailbox permission within an hour. Mail migration therefore has to be complete rather than mostly complete.

We migrate mailboxes, archives, shared mailboxes, distribution groups, calendar permissions and contacts, verify against the source, and schedule the final cutover so that authentication and DNS change at a controlled moment.

  • Full inventory of mailboxes, aliases, groups and permissions before starting.
  • Staged sync so the bulk of data moves before the cutover window.
  • Delegation preserved — shared mailboxes and calendar access carried across.
  • Mail authentication — SPF, DKIM and DMARC updated for the new platform.

Which plan do we need?
It depends on whether you need desktop Office applications, the level of security and compliance tooling required, and whether any staff need only web and mobile access. We review actual usage and recommend a mix — not everyone in an organisation needs the same plan.
How long does a migration take?
For a small organisation, typically a short project with the cutover over a weekend. Larger environments, hybrid Exchange configurations or heavily customised setups take longer and move in stages. We give a schedule after reviewing the current environment, not before.
Will staff lose access during the move?
The bulk of data is synchronised in advance while the old system stays live. The visible cutover is short and scheduled outside working hours, and we keep the previous platform reachable until delivery on the new one is confirmed.
Is Microsoft 365 backup really necessary?
Yes, if you would care about recovering data deleted longer ago than the platform's retention window. Microsoft protects the service; it does not maintain an independent restore point of your content indefinitely. That gap is the reason third-party 365 backup exists.
